Job Requirements

  • Bachelor's degree or equivalent experience
  • 1-3 years of experience in event or meeting management including budget oversight
  • Strong proficiency in Microsoft Office
  • Ability to learn new technologies quickly
  • Proven ability to manage multiple projects and competing demands
  • Destination knowledge or prior experience in hotel sales
  • Experience developing and maintaining key client and supplier relationships
  • Excellent communication and relationship-building skills

Job Duties

  • Manage event logistics using the business program event management system from contract turnover to final billing
  • Coordinate communication between suppliers and clients, including site inspections
  • Develop detailed itineraries and working agendas outlining all event specifics
  • Collaborate with accounting to finalize billing and ensure accurate client invoicing
  • Maintain accurate records and complete file management per company policies
  • Serve as the primary client contact, ensuring objectives are met and expectations are clear
  • Conduct regular status meetings with clients and stakeholders throughout the event lifecycle
  • Track and report expenses, manage budgets, and reconcile supplier payments
