Job Requirements

  • proficient in Cvent
  • two years business experience or college degree
  • six months to one year of past meeting planning skills preferred
  • ability to communicate effectively and professional with all levels of management and clients
  • appearance needs to always be neat and professional
  • proven organizational skills
  • ability to handle multiple demands
  • ability to work accurately and timely to meet deadlines
  • ability to be flexible and handle change
  • Microsoft Word and Excel experience beginner/intermediate level
  • experience with meeting industry technology a plus especially for attendee registration

Job Duties

  • facilitate attendee management and manage direct attendee communications related to all attendee management
  • handle attendee refunds through payment portal
  • manage sponsor payment process
  • coordinate transportation arrangements
  • oversee gifting management
  • develop FAQs
  • consult on Cvent web build
  • meet all deadlines as established by Meeting Management Team and client vendors
  • create and monitor hotel block and communicate updates
  • recommend specific needs/fields for website
  • assist with web build and management of activities, meetings, and reports
  • perform quality control checks on web site
  • create first draft meeting and event menus
  • ensure quality and accuracy of banquet event orders
  • manage speaker and sponsor accommodations and transportation
  • manage VIP special requests and accommodation assignments
  • communicate registration and air needs
  • process individual registrations and assist with registration questions
  • produce name badges and tent cards
  • schedule and manage project mailings
  • ship program materials and provide tracking information
  • manage small events including timeline, vendor negotiations, web requirements, program materials, itinerary, and billing
  • provide final reporting
  • liaise on final billing and reconciliation
  • manage housing link and respond to hotel questions
  • produce and update weekly pace reports
  • manage sub-block contracts for groups
  • provide reminders and communicate
  • source additional nearby hotels for overflow as needed
  • utilize business program management system
  • create and manage reporting timelines, documents, and spreadsheets
  • maintain accurate records and data input
  • create and deliver custom forms and reports
  • process supplier invoices
  • reconcile events and expenses
  • participate in client meetings and conference calls
  • attend and participate in operational turnover and internal meetings
  • communicate reporting timelines
  • participate in pre-con meetings
  • improve inter-departmental processes, systems, and communications
