Job Requirements

  • Bachelor’s degree in business administration or related field
  • Minimum of eight years of related professional experience
  • At least four years in a supervisory role
  • Ability to manage and maintain confidential information
  • Strong leadership and team development skills
  • Excellent communication and interpersonal skills
  • Proficiency in project management
  • Ability to develop and implement event policies and procedures
  • Capability to coordinate multiple complex events simultaneously
  • Willingness to work flexible hours including occasional nights and weekends
  • Physical ability to work extended periods at a computer
  • Legal authorization to work in the United States

Job Duties

  • Lead and oversee the strategy, design, and delivery of the organization’s meetings, conferences, and special events
  • Manage the full scope of event management services including venue selection, budget management, contract negotiations, vendor coordination, registration, marketing, logistics, catering, audio-visual, technology support, and transportation
  • Establish and ensure compliance with policies and standards related to meetings and events including accessibility, sustainability, quality control, and risk management
  • Manage daily operations and team performance, providing leadership, coaching, and training to meetings and events staff
  • Oversee scheduling and use of National Academies’ meeting spaces and conference centers, ensuring compliance and alignment with strategic priorities
  • Develop and execute marketing strategies for external use of meeting spaces, managing contracts, invoicing, and payment processes
  • Lead food service strategy and quality assurance in coordination with catering vendors and stakeholders
  • Manage budget and financial planning, including forecasting, monitoring, and reporting
  • Collaborate with AV and Travel leadership to develop technology strategies and implement event management systems
  • Identify and procure vendor solutions, prepare RFPs, negotiate contracts, and manage vendor relationships
  • Lead planning and execution of complex, high-profile events involving senior leadership and external dignitaries
  • Collaborate with building operations for facility management and improvements
  • Maintain confidentiality and handle sensitive information with discretion
  • Provide ongoing training and development for team members
  • Undertake related duties and special projects as assigned
