Job Requirements

  • Bachelor's degree required
  • 3+ years of corporate meeting and event planning experience
  • Proficient in Office 365, MS Teams, SharePoint, WebEx
  • Ability to manage multiple priorities
  • Ability to travel overnight and work occasional evenings/overtime
  • Richmond, VA-based with no relocation
  • US work authorization required
  • English proficiency required

Job Qualifications

  • Bachelor's degree required
  • Hospitality Management, Marketing preferred
  • Certified Meeting Professional (CMP) designation a plus
  • 3+ years of corporate meeting and event planning experience
  • Highly organized, detail-oriented, energetic, and solution-driven
  • Proficient in Office 365, MS Teams, SharePoint, WebEx
  • Swoogo experience preferred
  • Ability to manage multiple priorities, travel overnight, and work occasional evenings/overtime
  • Richmond, VA-based preference
  • English required

Job Duties

  • Provide comprehensive coordination across all phases of event delivery, from planning and logistics to onsite setup, production, and post-event closeout
  • Serve as dedicated support resource for the team through administrative tasks to enable seamless event operations and team success
  • Assist with RFPs, reviewing event orders, tracking budgets, and reconciling expenses
  • Coordinate with vendors to ensure services and materials are professional and appropriately reflect high standards
  • Create compelling branded event materials and signage to enhance guest experience
  • Leverage Swoogo Event Platform to streamline event execution and deliver polished professional event communications and websites
  • Prepare essential items such as nametags, gift bags, seating charts, and registration lists
  • Maintain accurate event documentation and support post-event follow-up to ensure transparency and accountability
  • Research new event possibilities, propose creative approaches, and champion cost-saving initiatives
  • Participate in ongoing learning opportunities and contribute to a culture of excellence
