Job Requirements
- High school diploma or equivalent
- At least two years of related experience in meetings or event coordination
- Availability to work early mornings, evenings, and weekends as needed
- Strong computer skills including proficiency in reservation and scheduling software
- Excellent verbal and written communication skills
- Ability to work independently with minimal supervision
- Commitment to providing exceptional customer service
- Ability to maintain confidentiality and handle sensitive information ethically
Job Qualifications
- Minimum of two years experience supporting meetings and events
- Demonstrated ability to interact professionally with diverse clients and stakeholders
- Proficient in Microsoft Office Suite and office technology
- Excellent client relationship and communication skills
- Strong organizational skills with the ability to multitask effectively
- Ability to problem-solve and adapt to changing priorities
- Demonstrated professionalism and commitment to maintaining confidentiality
Job Duties
- Anticipate project needs and prioritize work with minimal supervision
- Oversee reservations, cancellations, and holding requests using client scheduling software
- Communicate daily with clients and internal teams to confirm meeting/event details
- Serve as liaison with tech, catering, facilities, and outside vendors
- Handle client calls regarding changes or conflicts in requests
- Conduct daily walkthroughs before meetings to confirm event setups
- Participate in event walkthroughs with clients and hosts
- Prepare event floorplans when requested
- Facilitate weekly coordination meetings with facilities, audio-visual, and security teams
- Update standard operating procedures as needed
- Assist with meet and greet services for high-profile guests
- Manage reserve space and booking of conference rooms
- Work flexible hours including early mornings, evenings, and weekends
- Perform other duties as assigned
