Job Requirements
- Ability to successfully undergo a Government-sponsored background investigation (US Citizenship required)
- High school diploma or GED equivalent
- Oral and written proficiency in English
- Minimum typing speed of 50 words per minute
- Minimum of 6 months of customer service experience
- Basic computer skills required with daily proficiency in Microsoft Office Suite
- Basic medical terminology knowledge and experience working in a medical setting required
- Proficiency in VA software systems or ability to learn upon onboarding
- No health or physical disability restrictions interfering with duties
- Must be able to work independently and exercise sound judgment
- Prior VA scheduling or medical support assistant experience preferred
- Knowledge of VHA Directive 1230 Outpatient Scheduling processes and procedures preferred
- Familiarity with HIPAA, Privacy Act, and VA information security policies preferred.
Job Qualifications
- High school diploma or GED equivalent

- Proficiency or ability to learn VA software systems including CPRS, VistA, ISS, CTM, PCI, HSRM, and PPMS
- Oral and written proficiency in English
- Ability to work independently and exercise sound judgment
- Prior VA scheduling or medical support assistant experience preferred
- Knowledge of VHA Directive 1230 Outpatient Scheduling preferred
- Familiarity with HIPAA, Privacy Act, and VA information security policies preferred.
Job Duties
- Serve as the designated MSA scheduler and receptionist responsible for appointment scheduling coordination in accordance with VHA Directive 1230
- Schedule, track, and manage patient appointments including pre- and post-appointment contacts, cancellations, no-shows, and re-scheduling according to VA guidelines
- Process and resolve appointment no-shows within 24 hours and ensure scheduling actions meet VA timeliness standards
- Coordinate and authorize Veteran care with community providers in a timely manner
- Process community care consults via HealthShare Referral Manager and Provider Profile Management System
- Communicate with internal medical providers regarding VA Community Care rules and processes
- Validate and update patient demographic information including contact and insurance details
- Integrate health and administrative information into the Computerized Patient Record System and Veterans Health Information Systems
- Screen and receive phone calls promptly, adhering to professional telephone etiquette
- Respond to inquiries regarding service delivery
- Act as a Patient Relations Representative by addressing feedback and resolving patient and co-worker concerns professionally
- Manage assigned workload collaboratively to maintain efficient workflow
- Monitor incoming and outgoing faxes and mail in compliance with HIPAA standards
- Maintain National Telehealth Clinic profiles including grid access requests and provider grid changes
- Review data reports to coordinate patient appointments and communicate scheduling issues
- Prepare and ensure accuracy of correspondence
- Support the patient aligned care team
- Participate in team meetings to contribute to clinic goals
- Maintain compliance with VA Community Care scheduling and confidentiality standards.
