Job Requirements

  • high school diploma or GED
  • 6 months to 1 year of job-related experience
  • preferred knowledge of state-specific occupational medicine requirements
  • ability to use logic for decision making
  • excellent customer service and interpersonal skills
  • understanding of HIPAA and PHI confidentiality requirements
  • effective communication and relationship management skills
  • intermediate proficiency in Microsoft Office applications
  • ability to manage all front office functions
  • willingness to undertake medical assistant duties as assigned
  • full-time availability for Monday through Friday, 8:30 AM to 6:00 PM shift

Job Qualifications

  • high school diploma or GED
  • 6 months to 1 year of relevant job experience
  • working knowledge of state-specific occupational medicine requirements preferred
  • strong service mentality and attention to detail
  • ability to solve problems using logical thinking
  • outstanding customer service skills
  • capacity to handle sensitive and confidential information in compliance with HIPAA and PHI regulations
  • effective communication skills with employers, patients, providers, and colleagues
  • ability to maintain professional relationships at all organizational levels
  • proficiency in Microsoft Office including Word, Excel, and Outlook
  • capability to perform front office operations efficiently
  • motivation to meet or exceed established service standards

Job Duties

  • Greet patients and visitors
  • communicate wait times to patients and direct them accordingly
  • obtain authorization as needed to process patients for services
  • check in patients using appropriate patient management system
  • explain required forms to patients and ensure proper completion
  • answer incoming telephone lines and direct callers accordingly
  • contact patients regarding appointment reminders, rescheduling, or cancellations
  • check out patients and distribute records
  • file paperwork, medical records, and correspondence
  • maintain inventory of office supplies and printed forms
  • manage dissemination of paperwork to outside parties
  • follow HIPAA guidelines and safety rules
  • attend center staff meetings
  • participate in training as required
  • complete processing of patient referrals accurately
  • assist Center Operations Director with daily administrative functions
  • help maintain a neat and orderly facility
  • use employer reporting tool to scan and distribute results
  • review clinician transcriptions and enter charges
  • perform designated medical assistant duties such as breath tests, drug screens, and TB skin test readings
