Job Requirements

  • High school diploma or GED
  • Prefer one year experience in customer service setting, preferably in a medical office
  • Ability to type a minimum of 30 words per minute strongly preferred
  • Basic knowledge of medical terminology
  • Strong service orientation with friendly and approachable demeanor
  • Excellent organizational skills
  • Effective verbal communication skills
  • Ability to multitask and maintain attention to detail
  • Adaptability and calmness under pressure
  • Ability to work well in a team
  • Proficiency in computer use and ability to learn EPIC software

Job Qualifications

  • Computer proficiency including ability to learn EPIC software and basic Microsoft applications

Job Duties

  • Acknowledges and welcomes patients and visitors
  • Informs staff of patient/visitor arrival and provides instruction, assistance and information as to completion of required paperwork and waiting times
  • Answers general questions about the facility including location, restrooms, elevators, hours of operation
  • Ensures waiting area is clean, tidy, and stocked with appropriate patient announcements and brochures
  • Conveys information to patients and/or visitors as directed
  • Assists or calls for assistance with patients with ambulatory difficulties
  • Obtains registration information from patients for input into EPIC
  • Verifies and/or updates demographic and health plan information
  • Checks patients in and out of the clinic
  • Provides patients with information regarding payment obligations, HIPAA Notice of Privacy practices, clinic policies, and collects required forms and signatures
  • Schedules appointments in EPIC according to Practice protocol
  • Conveys schedule changes to appropriate staff
  • Reviews next day’s schedules and prints physician schedules as directed
  • Assists patients with obtaining appointments at other physician and hospital sites and/or schedules lab or radiology testing
  • Pulls patient charts, files information correctly, and maintains the filing system
  • Prepares charts to clinic and/or Practice specifications
  • Collects copays, cash, check, or credit card payments and posts all payments in EPIC
  • Balances daily cash and collections
  • Secures change drawers and cash ensuring appropriate financial procedures
  • Answers multiple phone lines, screens calls, takes detailed messages, directs calls to appropriate staff
  • Understands responsibility limits and does not provide medical advice
  • Performs all other duties as assigned
