Job Requirements
- High school graduate or GED
- One or more years of receptionist experience preferably in an outpatient healthcare setting
- Previous experience with computers and automated scheduling preferred
- Experience handling and balancing cash preferred
- Knowledge of principles of outstanding customer service
- Ability to operate all general business equipment
- Knowledge of grammar, spelling and medical terminology
- General understanding of healthcare insurance and terminology
- Ability to sort and file by alphabet or terminal digit
- Ability to handle cash transactions and balance cash drawers
- Highly organized with strong time management skills
- Ability to perform simultaneous tasks and prioritize effectively
- Bilingual English and Spanish proficiency without interpreter
- Ability to demonstrate interpersonal and cultural sensitivity
- Proficiency with EMR systems
Job Qualifications

- Demonstrates ability to read, write and speak English and Spanish without an interpreter
- Demonstrates interpersonal and cultural sensitivity when working with diverse populations
- Proficiency with EMR systems
- Operates general business equipment and assists with clerical needs
Job Duties
- Graciously greets patients and visitors promptly and politely to the medical office and obtains all required information to register patient
- Ensures or assists patient in completing all forms and routes those forms to the appropriate personnel or department
- Inputs registration demographic and insurance information into computer
- Reviews current registration information with patient updating information as required
- Determines patient insurance eligibility and PCP
- Assists patient in selecting a PCP if one has not been selected
- Reviews provider schedules in advance to ensure pre-registration of new patients
- Assembles and sends new patient packets, registration packets, and history physical forms prior to scheduled appointments
- Schedules patient visits per established procedures including all required ICD-10 codes
- Confirms appointments, cancels appointments and notifies clinical staff of appointment changes
- Discusses scheduling conflicts or problems with supervisors or clinical staff
- Provides schedule updates during the day
- Generates bump/wait lists and reschedules appointments as needed
- Informs clinical personnel when patients arrive virtually or in clinic and routes patient appropriately
- Answers incoming telephone calls and routes calls or takes detailed messages
- Handles prescription refill requests
- Checks patient out at end of visit, answering questions including simple billing inquiries
- Reviews charge/encounter tickets for accuracy
- Obtains missing information from clinical staff
- Prepares no-show letters for physician signature
- Collects outstanding balances and copayments, processes payments and issues receipts
- Balances cash drawer at shift end
- Assists in verifying and processing patient referrals as needed
- Assists with medical records requests and scanning documents
- Opens or closes office as shift requires, ensuring doors are secured and equipment turned on/off
- Maintains front office workflows by following policies and procedures, reporting needed changes and supporting team efforts.
