Job Requirements

  • High school diploma or equivalent
  • Minimum 1 year administrative or customer service experience in a medical setting preferred
  • Must have reliable transportation
  • Must be able to travel to CVR Woburn and Framingham clinics
  • Availability to work Monday through Thursday, 6 AM to 4 PM
  • Ability to handle patient information with confidentiality in line with HIPAA
  • Basic computer skills and proficiency with electronic record systems

Job Qualifications

  • Minimum 1 year administrative or customer service experience, preferably in a medical setting
  • Ability to operate NextGen or other electronic health record systems
  • Strong communication skills to interact effectively with patients and staff
  • Attention to detail and organizational skills
  • Familiarity with HIPAA regulations
  • Ability to manage multiple tasks in a fast-paced environment

Job Duties

  • Greet patients in a friendly and professional manner and check in/out
  • Ensure all CVR policies and procedures are distributed, understood, and implemented by assigned center staff
  • Maintain compliance by keeping patient charts up to date, HIPAA compliant, and properly entering demographics, procedures, and payments in NextGen
  • Review scheduling and financial responsibilities and referrals with patients throughout care
  • Send precertification forms daily to the Precertification Department for patients requiring authorization
  • Complete daily close tasks including fee tickets, billing tasks, and operative notes
  • Review future schedules to confirm patient preauthorization
  • Obtain and update new patient forms in NextGen/EHR
  • Collect necessary paperwork such as authorizations, referrals, and copays at time of service
  • Schedule and confirm appointments and collect email addresses from patients
