Job Requirements

  • High school diploma or equivalent
  • 1+ years of experience in healthcare operations or customer service preferred
  • strong communication skills
  • proficiency with computer software applications including Microsoft Office and EMRs
  • ability to multitask and prioritize
  • ability to work independently and as part of a team
  • knowledge of HIPAA and handling confidential information
  • ability to manage difficult or sensitive situations using crisis and de-escalation processes

Job Qualifications

  • High school diploma or equivalent
  • associates or bachelor’s degree preferred
  • minimum 1 year experience in healthcare operations, customer service, or similar settings preferred
  • strong communication skills, both written and verbal
  • proficiency in computer software applications including Microsoft Office and Electronic Medical Records (EMRs)
  • ability to multitask and prioritize duties
  • ability to work independently and collaboratively
  • comfortable handling sensitive and confidential information consistent with HIPAA guidelines

Job Duties

  • Create a positive work environment
  • be a culture carrier and support in-office clinician and staff engagement activities to promote LFST culture, engagement, and connection
  • conduct schedule prep process for all patients to ensure all paperwork and documentation is complete, credit card on file is current, demographics are accurate, and patient chart is prepared
  • manage general office duties, cleanliness, and appeal, such as sorting office mail, scanning documents, e-faxes, shared office email and office upkeep to ensure practice readiness
  • communicate with peers, clinicians, and patients in ways that support patient care and clinician satisfaction
  • provide exceptional customer service by responding quickly and appropriately to patient needs and managing difficult or sensitive situations by following Crisis and De-escalation Processes
  • manage front desk responsibilities including greeting and checking patients in/out courteously
  • provide support to patients with requests via phone, email, and portal regarding payment/billing questions, scheduling, release requests, and miscellaneous inquiries
  • manage phone system queues ensuring timely answers
  • assist patients with telehealth access and portal issues
  • handle urgent requests by triaging patient issues and escalating as appropriate
  • collect co-payments and account balances at the time of service
  • complete insurance eligibility verification and resolve related issues
  • provide administrative support to clinicians such as sending letters and faxes
  • coordinate with clinicians regarding patient questions
  • audit clinician schedules for appointment accuracy
  • maintain a pleasant, secure, and motivational working environment in the Practice
