Timberlane Pediatrics is currently seeking to expand its team by hiring a full-time Medical Receptionist/Practice Support Specialist. This position is primarily based in the Milton, VT location and demands reliability and dedication. Candidates must possess reliable transportation and a valid driver’s license to fulfill responsibilities across multiple sites. The Medical Receptionist/Practice Support Specialist plays a crucial role as the first and last point of contact for patients, families, and visitors, setting the tone for their overall experience at the practice. The role requires exceptional communication skills, with the ability to convey professionalism and empathy both verbally and in writing. This individual will be intimately familiar with office scheduling protocols and must act as a key liaison between patients and the administration and clinical staff, ensuring a smooth flow of operations.
Working hours for this full-time role are from Monday through Friday, 8:15 am to 5:15 pm, with additional rotating Saturday shifts from 8:15 am to 12:15 pm. Candidates must demonstrate a meticulous approach to office scheduling policies and departmental procedures, along with sound clerical and computer skills necessary for accurate appointment management. Beyond scheduling, the Practice Support Specialist is expected to actively engage in quality improvement initiatives aimed at enhancing the overall effectiveness of the health center. Time management is critical to successfully meeting the standards outlined in the Primary Care Health Partners Handbook.
Key responsibilities include welcoming patients and visitors either in person or via telephone across multiple sites, managing incoming calls and inquiries with professionalism, and accurately scheduling patient visits. The specialist must facilitate efficient patient flow by promptly communicating delays or late arrivals to clinical staff, handle incoming correspondence, and manage patient check-in and check-out procedures. They are also responsible for collecting patient demographics, insurance information, required payments including copays and past due balances, and following up on delinquent accounts using courteous communication. Daily financial reconciliation and cash-out duties are part of the position to ensure precise monetary management.
Additionally, the role involves preparing and managing paperwork for new patient registrations, actively collaborating as a team member to support the practice's strategic vision, proposing suggestions to improve operational accuracy and efficiency, participating in team meetings, staying current with required trainings, and performing other duties as assigned. Job Duties
- Welcome patients and visitors in person or on the telephone at all 3 sites
- Answer and handle incoming calls or direct calls and inquiries appropriately
- Accurately schedule patient appointments
- Facilitate patient flow by communicating late arrivals and delays with clinical staff
- Sort and distribute incoming mail and faxes
- Check in/ Check out patients at all 3 sites
- Collect all necessary patient information, demographics and insurance
- Collect all money due at check in, copays or past due balances
- Make calls to collect money due on delinquent accounts
- Daily cash-out and reconciliation of monies received
- Compile and request completion of required paperwork for new patients
- Work as a team player and support strategic vision
- Offer new ideas to increase accuracy and efficiency
- Actively attend and participate in staff meetings
