Job Requirements

  • High school diploma or equivalent
  • Previous experience in a receptionist or customer service role
  • Strong organizational skills
  • Excellent communication skills
  • Ability to multitask in a fast-paced environment
  • Familiarity with Electronic Health Records (EHR) systems preferred
  • Knowledge of HIPAA regulations

  • Previous experience in a receptionist or customer service role, preferably in a healthcare or mental health setting
  • Strong organizational and time-management skills
  • Excellent written and verbal communication skills
  • Ability to manage multiple tasks simultaneously and work in a fast-paced environment
  • Familiarity with Electronic Health Records (EHR) systems is preferred
  • A compassionate and empathetic demeanor with clients
  • Knowledge of HIPAA regulations and confidentiality standards
  • Ability to work well in a team and contribute to a positive office environment

Job Duties

  • Greet clients and visitors in a warm and professional manner
  • Answer phone calls, take messages, and direct inquiries to the appropriate staff member
  • Schedule and confirm appointments for clients
  • Maintain a clean and welcoming reception area
  • Manage client intake forms and ensure all documentation is completed accurately
  • Process new client registrations and ensure proper data entry into the Electronic Health Record (EHR) system
  • Handle client payments, insurance verification, and co-payments
  • Assist in managing the flow of clients and visitors to ensure minimal wait times
  • Communicate effectively with clinical staff to ensure timely client services
  • Ensure confidentiality and comply with HIPAA regulations in all interactions
  • Perform other administrative duties as needed to support the operation of the agency
