Job Duties
- source and request proposals from hotels, event venues, catering companies, transportation providers, and other vendors
- assist in vendor selection, negotiation, and contract coordination to ensure high-quality event experiences
- assist and maintain event registration systems, including attendee communications, data accuracy, and reporting
- support project management of multiple concurrent events - tracking timelines, budgets, and deliverables
- support and organize logistics such as travel, accommodations, and transportation lists for attendees and staff
- maintain detailed event documentation, ensuring all moving parts are aligned across teams and vendors
- collaborate with internal stakeholders to confirm event needs, branding standards, and guest experiences are met
- manage vendor communications before, during, and after events to ensure smooth execution and follow-up
- assist with on-site event coordination and post-event reporting, including metrics and vendor feedback
- support the Corporate Events team in developing materials and messaging to promote events
