Job Requirements

  • Bachelor's degree or equivalent experience
  • minimum 3 years experience in event management or sports operations
  • strong communication and leadership abilities
  • experience coordinating or scheduling athletic competitions
  • ability to manage multiple priorities in fast-paced environments
  • must be located near Orlando, FL
  • ability to work flexible hours including evenings and weekends
  • reliable transportation
  • proficiency in technology platforms for scheduling and communication

Job Qualifications

  • Strong organizational and multitasking skills
  • excellent written and verbal communication skills
  • experience conducting structured interviews
  • proven interdepartmental collaboration abilities
  • proficiency with CRM and sports scheduling platforms like Tourney Machine
  • familiarity with Microsoft Office Suite
  • flexibility to work evenings, weekends, and travel
  • willingness to work on-site approximately 12 weeks per year

Job Duties

  • Schedule calls with traveling team head coaches to assess needs
  • conduct structured interviews to gather detailed competition requirements
  • incorporate feedback into balanced competition schedules
  • communicate and finalize schedules with coaches
  • monitor and manage team applications and scheduling requests
  • build and maintain competition grids and master schedules
  • upload finalized schedules and results to public and coach-facing platforms
  • contract facilities and coordinate on-site operations
  • manage athletic trainers and officials for all events
  • oversee payments and deposits for facilities and staff
  • provide on-site support and communication
  • operate events onsite including games, practices, and clinics
  • serve as primary on-site contact for all stakeholders
  • troubleshoot and resolve event issues
  • maintain strong communication with sales, account management, and operations teams
  • secure local Florida schools as competition partners
  • issue and manage competition contracts
  • manage cancellations to minimize disruptions
  • update coaches' manuals per season and sport
