Job Requirements
- Bachelor’s degree or equivalent preferred
- extensive professional experience in event production, operations, or large-scale event management
- proficiency in event management software such as Asana, Workfront, Airtable, or Monday.com
- strong organizational and time management skills

Job Qualifications
- Extensive professional experience in event production, operations, or large-scale event management
- experience in lifestyle, luxury, hospitality, or experiential brand events is strongly preferred
- bachelor’s degree or equivalent in Event Production, Communications, Hospitality Management, or related field preferred
- proven ability to manage RFP processes, conduct competitive vendor bidding, negotiate contracts, and secure insurance and permit documentation
- strong organizational and time management skills with a focus on precision and follow-through
- excellent written and verbal communication skills with professional polish
- proficiency in project and communication tools such as Asana, Workfront, Airtable, Monday.com, and Slack
- familiarity with AI tools for research, reporting, and task automation
- understanding of event infrastructure, site logistics, and vendor coordination
- willingness to travel domestically for event support and execution
- strategic and operational thinker with exceptional attention to detail

Job Duties
- Manage multiple events simultaneously, ensuring all milestones and deliverables are completed on time and within scope
- create, maintain, and execute detailed planning timelines within a platform such as Asana, Workfront, Monday.com, or Airtable
- anticipate needs, challenges, and resource requirements to keep projects on track and on budget
- deliver timely progress reports, internal updates, and post-event recaps
- lead and support large-scale event logistics including permitting, infrastructure, site layouts, production schedules, vendor coordination, and on-site operations
- oversee load-in and load-out schedules, transportation, accommodations, and credentialing for staff and vendors
- ensure all insurance documentation, vendor COIs, and permits are secured and compliant with Hagerty standards
- manage and track vendor invoices, purchase orders, and payment processing to ensure accuracy and timeliness
- serve as on-site event support, problem solving and managing teams to maintain premium guest experiences
- lead the RFP (Request for Proposal) process for competitive bidding across key event categories including production, rentals, décor, AV, and creative services
- develop and distribute RFPs, evaluate proposals, and recommend vendors based on quality, cost, and alignment with project goals
- negotiate vendor contracts and ensure all agreements meet Hagerty's standards for value, safety, and compliance
- maintain strong relationships with vendors, partners, and venue teams to ensure accountability and excellence
- assist in developing, tracking, and reconciling event budgets
- conduct side-by-side bid comparisons to ensure cost-effective vendor selection through the RFP process
- approve and process invoices, ensuring accuracy and alignment with project budgets
- identify opportunities for savings and operational improvements
- maintain clear budget documentation and reporting for leadership
- collaborate with marketing and sponsorship teams to support on-site activations, brand experiences, and guest engagement strategies
- use AI-assisted tools for reporting, research, and creative brainstorming
- coordinate sponsor deliverables and ensure on-site activations meet brand and contractual requirements
- contribute to post-event recaps and performance reports for internal and sponsor review
- maintain a working understanding of ticketing systems, reporting needs, and guest flow logistics to effectively collaborate and support event access and guest experience
- ensure operational readiness by aligning ticketing needs with event infrastructure, signage, and on-site check-in processes
- contribute ideas and support execution of high-end activations, VIP programs, and hospitality lounges that elevate the guest experience
- research new trends in event design, production technology, and experiential storytelling
- collaborate with creative and production partners to ensure cohesive event aesthetics and flow
- support VIP hospitality lounges, guest arrival experiences, and premium seating or dining areas
- ensure all hospitality details align with brand standards and elevate the overall guest experience
- coordinate catering and hospitality manage menus, beverages, layouts, and service schedules
- partner with event leads, production managers, and marketing teams to deliver unified event outcomes
- mentor event assistants and interns, providing structure, accountability, and feedback
- maintain team communication and organization within a platform such as Slack, Asana, Workfront, Smartsheet or Google Workspace
- support process documentation and contribute to continuous improvement initiatives
- represent Hagerty professionally during event setup, operations, and teardown
- supervise on-site vendors, support staff, and volunteers to ensure smooth execution and adherence to timelines
- quickly identify and resolve issues while maintaining composure and professionalism
