Job Requirements

  • High school diploma or GED
  • 5 years experience in sales and marketing, guest services, front desk, or related area, or 2-year degree in Business Administration, Marketing, Hotel and Restaurant Management, or related major with 3 years related experience

Job Qualifications

  • or 2-year degree from an accredited university in Business Administration, Marketing, Hotel and Restaurant Management, or related major with 3 years experience in sales and marketing, guest services, front desk, or related professional area

  • experience in coordinating group bookings and managing operational logistics

Job Duties

  • Manages the operational preparation for all group bookings including guest deposits, room blocks, rooming lists, cutoff dates, waitlist, overflow accommodations, rooming requests, contact relationships and ticketing needs
  • checks for accuracy on all booking sheets and contracts to verify compliance with operational guidelines such as inventory, availability, rate structure, and deadlines
  • maintains organized and accurate files on each group account and monitors daily course of action
  • provides various reports and communications to Sales, Convention Services, Director of Call Center, Travel Industry Sales, Front Office and Accounting
  • acts as primary Rooms Division contact in advance planning meetings, communicating pertinent information to Rooms Division, Revenue Management, and Accounting
  • manages receipt and entry of group rooming lists by the proposed deadline, verifying, documenting and releasing unused room or attraction inventory for general sale
  • attends pre-convention meetings, bill reviews and site visits for assigned groups
  • manages all rooms aspects of assigned groups using discretion and judgment in dealing with group contacts including contractual obligations
  • executes exemplary customer service to drive satisfaction and loyalty by understanding customer needs and recommending appropriate features and services
  • supports the company’s Service and Relationship Strategy to drive customer loyalty by delivering service excellence throughout each customer experience
  • services customers to grow share of the account
  • utilizes intranet for resources and information
  • attends and completes training courses related to Sales Business Processes and system use
  • performs other duties as assigned to meet business needs
