Job Requirements
- Bachelor's degree in marketing, communication, business or related field
- Minimum four years of work experience in event planning or related roles
- Excellent verbal and written communication skills
- Flexibility and adaptability to change
- Strong attention to detail
- Highly organized with project-management experience
- Understanding digital media trends and technology tools
- Ability to work well within cross-functional teams located in different offices
- Proficiency in Microsoft Office suite including Word, Excel and PowerPoint
- Experience collaborating with hotel management, catering services and vendors
- Proven experience managing all aspects of larger meetings, events and conferences
- Skilled in negotiating contracts with hotels, venues and vendors
- Ability to interface with senior executives and VIPs
- Ability to work independently without supervision and demonstrate initiative

- Willingness to maintain a flexible schedule with some travel during peak times

Job Duties
- Coordinate business events including event experiential creation, agenda development and preparation of materials
- Develop event programs in partnership with audio-visual team and manage speaker recommendations
- Conduct vendor and site research, negotiate contracts and manage expenses
- Select food and beverages and manage audio-visual needs
- Reconcile event budgets and analyze event statistics and client engagement
- Source and manage hotels, venues, airfare, ground transportation, local staffing and vendors
- Book and coordinate arrivals, meeting spaces, social activities and procure all necessary vouchers and credentials
- Develop measurement frameworks, track and report on KPIs
- Propose new ideas to improve event planning processes
- Negotiate with vendors to secure favorable terms
- Co-manage vendor relationships including agencies and caterers
- Manage preferred vendor list and require three vendor quotes prior to selection
- Act as subject matter expert on event industry trends and CVENT technologies
- Provide real-time solutions to Event Director
- Perform other duties as assigned
