Job Requirements

  • 2 or more years of experience in the event industry and 1 or more years as an indirect supervisor or similar experience in meeting/conference/trade show/event planning
  • 1 or more years of experience with virtual solutions/platforms in meeting planning or similar technical experience
  • Associate degree in business discipline or additional work experience typically equivalent to education
  • Willingness to travel, work nights/weekends
  • Someone based in the greater-Boston area
  • Ability to carry and lift boxes and withstand the demands of being on your feet at events

Job Qualifications

  • Experience working cross-functionally with sales, product, and executive teams
  • High attention to detail balanced with strategic thinking
  • Strong level of intensity and commitment to providing a high level of customer service
  • Someone based in the greater-Boston area
  • Ability to carry and lift boxes and withstand the demands of being on your feet at events
  • An interest in hospitality
  • Proven record of managing a small team
  • Proficient in Excel, Word, PowerPoint, and Outlook
  • Experience with Cvent, ExhibitDay, and/or other event management tools

Job Duties

  • Own the end-to-end strategy and execution for assigned national and large regional trade shows and partner-hosted events, ensuring alignment to business goals, audience needs, and brand standards
  • Develop comprehensive trade show plans covering timelines, session strategy, speaker management, staffing models, and onsite run-of-show documentation
  • Lead cross-functional trade show planning with Marketing, Sales, Product, A/V, IT, Platform Design, and external agencies to deliver seamless attendee and exhibitor experiences
  • Serve as onsite trade show lead, providing live support across registration, general sessions, breakouts, exhibitor areas, and virtual components, acting as escalation point for real-time issue resolution
  • Manage trade show platforms and technology, including registration, mobile apps, session streaming, and virtual/hybrid tools
  • troubleshoot issues and maintain post-event incident documentation
  • Recommend and institute operational changes to increase efficiency and quality and/or decrease costs
  • Oversee trade show vendor relationships and contracts, including venues, general service contractors, A/V, keynote speakers, and production partners, ensuring cost efficiency and service quality
  • Manage trade show budgets and forecasts, tracking expenses against plan, identifying savings opportunities, and reallocating resources to maximize impact and ROI
  • Partner with demand generation and sales teams to drive trade show attendance, lead capture, and post-conference follow-up strategies
  • Build and manage trade show registration sites and communications in Cvent, including agenda builds, speaker content, and attendee communications
  • Evaluate trade show performance post-event, including attendance, engagement, pipeline influence, and attendee feedback, and recommend improvements for future conferences
