Job Requirements
- Bachelor’s degree in hospitality, event management, or a related field
- minimum seven years of professional experience in hospitality, event management, or venue operations
- ability to manage multiple complex events simultaneously
- strong client communication and negotiation skills
- capability to oversee budgets, billing, and financial processes accurately
- proficiency with event operation software
- excellent organizational, multitasking, and time-management abilities
- physical ability to lift at least 25 lbs
- willingness to work onsite five days a week
- availability for early mornings, evenings, weekends, and holidays as needed
Job Qualifications
- Bachelor’s degree in Hospitality, Event Management, or a related field
- seven or more years of experience in hospitality, events, or venue operations
- strong organizational and time-management skills
- proficiency with BEO and event management software such as Tripleseat
- advanced skills in Microsoft Office Suite including Excel, Word, Outlook, and PowerPoint
- exceptional customer service and hospitality mindset
- adept at multitasking in fast-paced environments
- excellent client relationship management skills
- experience with vendor negotiation and contract oversight
- budgeting, forecasting, and financial tracking expertise
- proven ability to collaborate across functional teams
- flexibility to work non-standard hours
Job Duties
- Serve as the primary liaison for clients from inquiry through post-event evaluation
- translate client objectives, preferences, and budgets into customized event proposals and execution plans
- manage multiple client engagements concurrently while ensuring service excellence and expectation alignment
- oversee all logistics for assigned events including space selection, room configuration, staffing, setup, décor, audiovisual needs, and event flow
- direct on-site event execution ensuring all details are properly planned, communicated, and delivered
- provide real-time support during events to address guest needs and last-minute adjustments
- collaborate with internal departments including Event Operations, Catering, Facilities, Security, Janitorial, and A/V
- plan and lead pre-production and post-production meetings to align stakeholders on scope, timelines, and responsibilities
- source, negotiate, and manage external vendors such as entertainment, florists, and photographers
- coordinate with Facilities to secure Certificates of Insurance (COIs) and maintain required documentation
- maintain strong vendor relationships to support quality, efficiency, and service standards
- partner with culinary teams to develop custom menus and beverage programs aligned with client needs
- ensure food and beverage service aligns with event timelines, quality standards, and guest expectations
- develop, track, and manage event budgets ensuring cost control and financial accuracy
- prepare detailed cost estimates, margin projections, and post-event financial reports
- administer change orders and assist clients with cost transparency
- process internal invoices, billing documentation, and financial coding accurately and on time
- conduct post-event evaluations, collect client feedback, and identify opportunities for enhancement
- apply insights to improve future event execution and client satisfaction
- contribute creative ideas and innovative concepts to enhance event experiences
- support departmental financial goals through efficiency improvements and vendor optimization
- mentor or support team members as needed during complex or high-volume event periods
