Job Requirements
- High school degree or equivalent
- 3+ years of relevant experience preferred
- Experience in office services, events management, or facilities management
- Strong software skills in Outlook, Excel, PowerPoint, and Word
- Ability to handle confidential and sensitive information
- Excellent organizational and multitasking abilities
- Professional communication skills
- Ability to work onsite in Seattle Monday through Friday
- Flexibility to work early mornings or evenings occasionally
- Customer service orientation and problem-solving mindset
Job Qualifications
- Previous experience in customer service-oriented environment
- Experience in professional services, corporate office operations, events, or facilities preferred
- High school degree required, BA/BS degree preferred
- 3+ years of relevant experience in office services, facilities management, or business operations
- Proven experience managing logistics and budgets for multi-stakeholder events
- Strong knowledge of software applications including Outlook, Excel, PowerPoint, and Word
- Exceptional attention to detail and organizational skills
- Ability to work independently, handle multiple priorities, and manage sensitive situations
- Professional written and verbal communication skills
- Ability to build effective working relationships across all stakeholders
Job Duties
- Serve as primary liaison to building, parking, and security management to ensure optimal functioning of building systems
- Execute life, health, and safety processes and resolve issues for smooth operations
- Coordinate and maintain office access control system
- Manage office services budgets by tracking spend and providing updates
- Evaluate and manage vendor relationships including negotiating contracts
- Work with facilities technicians and coordinate on renovations and space changes
- Own the annual office-wide events calendar and lead event execution including budgeting and logistics
- Support social impact activities and affinity groups through planning and communication
- Design and run feedback loops to measure event impact and drive improvements
- Partner with recruiting and onboarding teams to ensure seamless logistics for client visits and new hires
- Partner with operations lead on connectedness and training budgets and track spend
- Support execution of key programs like employee surveys with communication and tracking
- Maintain reception, cafe, and front-of-house services ensuring high service levels
- Manage office inventory and coordinate shipping and receiving operations
- Respond promptly to reception-related inquiries and manage visitor access
- Provide professional communication and coordination across various stakeholders
- Handle confidential information with discretion and sound judgment
