Job Requirements
- Bachelor’s degree or equivalent combination of education and experience
- Five years of relevant experience in event planning, client coordination, and administrative support
- Ability to work flexible hours including nights, weekends, and holidays
- Strong organizational and communication skills
- Experience in supervising and training staff
- Ability to manage multiple tasks and projects effectively
- Familiarity with safety and compliance standards
- Valid driver’s license preferred
Job Qualifications
- Bachelor’s degree or equivalent combination of education and experience
- Five years of experience in event planning and execution including logistics planning, vendor coordination, on-site event management, and post event follow up
- Experience in client and stakeholder coordination serving as primary point of contact and managing communication with multiple departments and external vendors
- Experience with administrative and operational support including scheduling, preparing agreements or estimates, tracking invoices and budgets, and maintaining organized documentation
- Preferred experience includes supporting events within collegiate athletics, higher education, or large venue operations
- General understanding of ticketing, marketing, guest service, and financial operations
- Experience in staff supervision, training, and scheduling
- Experience with financial processing, event billing, and coordinating with business or finance offices
- Knowledge of live event industry production and operation of sports and entertainment venues
- Strong organizational and customer service skills
- Ability to process, organize, and disseminate detailed information
- Effective verbal and written communication skills
- Ability to multi-task and work cooperatively with others
Job Duties
- Assists the assistant athletic director with large event related items
- Oversees large events such as TAMU Graduations, Muster, and AFS Gala at athletic facilities
- Assists with out-of-season athletic, professional sports, and concert events
- Meets with clients to gather information to prepare layouts, estimates, and event agreements
- Liaises with third party vendors including caterers, parking, ushers, security, and fire and life safety
- Coordinates with facility staff for space setup needs
- Serves as on-site manager during events overseeing set-up and tear-down
- Posts event work including soliciting event evaluations from clients and invoicing
- Assists in recruiting, training, and scheduling event staff
- Facilitates tours for prospective clients
- Supports scheduling of meeting rooms and times for the department
- Acts as first point of contact for clients interested in booking events
- Serves as liaison between clients and Athletics Facilities staff, Levy, SSC staff, Transportation Services, UPD, and other campus partners
- Schedules vendor services
- Oversees administration needs including invoicing and communication with business office
- Tracks invoice timelines and follows up on aging invoices
- Communicates with third party groups for payment of post-event invoicing
- Conducts site visits and meetings with clients
- Coordinates post-event aspects including client surveys, invoicing, and clean-up
- Supervises part-time wage employees including student workers and tour guides
- Develops recruitment programs for part-time employees
- Ensures compliance with safety regulations by coordinating with local Fire, Police, and Public Safety departments
- Maintains familiarity with NCAA, Conference, and University rules and regulations
- Establishes and enforces rules concerning student-athlete conduct, appearance, and punctuality
- Maintains integrity of Athletics Department and Texas A&M University in communication and contacts
