Job Requirements

  • Minimum 2+ years supporting a senior-level executive
  • bachelor’s degree or equivalent professional experience
  • strong written and verbal communication skills
  • technically proficient with Microsoft Office Suite
  • experience with travel coordination and event planning
  • flexibility to work evenings and weekends
  • ability to maintain professionalism and confidentiality
  • strong organizational skills

Job Qualifications

  • Minimum 2+ years supporting a senior-level executive, ideally in the music, entertainment, or live event industries
  • bachelor’s degree or equivalent professional experience
  • superior organizational, time management, and multitasking skills
  • high degree of professionalism and discretion in handling sensitive information
  • strong written and verbal communication skills
  • technically proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and adept at navigating internal systems and online research
  • experience with travel coordination and event planning
  • confident working independently and in a team environment with a strong sense of ownership and accountability
  • flexibility to work a varying schedule, including evenings and weekends, based on business needs

Job Duties

  • Proactively manage a busy and complex calendar
  • schedule and coordinate meetings or other events as directed
  • use sound judgment and carefully ascertain the nature of incoming phone calls, accurately record messages, address issues independently, and transfer calls as necessary
  • follow up with callers regarding information requests
  • proactively manage the workflow of the Executive, including meetings, correspondence, and milestones
  • help organize critical work projects and prioritize with the Executive to ensure timely handling of all objectives
  • communicate with high-level contacts inside and outside the company, including booking agents, Artist Managers and leading industry professionals
  • work with other members of internal departments as requested to promote departmental objectives
  • compose, type, and prepare correspondence, memos, PowerPoint presentations, confidential materials, etc. of the highest quality
  • coordinate travel arrangements including flights, hotels, and car services, creating and updating itineraries
  • coordinate, administrate, and track show contracts, payments and other paperwork from start to finish
  • provide general administrative support and manage projects with minimal supervision
  • interface with agents and venues to verify availability and build a calendar of events
  • manage internal documentation using booking systems, calendars and ticketing schedules
  • assist in booking amphitheaters, arenas, and theaters
  • run business-related errands as requested by the assigned executive
  • multitask efficiently in a fast-paced environment while maintaining strong attention to detail
  • serve as the point of contact for incoming ticket requests from internal and external clients
  • perform other duties as assigned by management
