Job Requirements
- Bachelor’s degree or equivalent experience
- five plus years of experience in live entertainment booking or related roles
- three plus years of experience in data entry and administrative support
- proficiency with Microsoft Office suite
- excellent communication skills, verbal and written
- strong organizational and multitasking abilities
- ability to work independently and as part of a collaborative team
- experience handling contracts and legal documents is preferred
- must have high attention to detail
- ability to navigate and utilize event booking software systems
- demonstrated problem-solving and critical thinking skills
- ability to maintain confidentiality and handle sensitive information
- passion for music and live entertainment industry
- willingness to attend events as needed and represent the company
- valid work authorization in the hiring country
Job Qualifications
- Strong interest and knowledge of music and concerts, both historical and contemporary
- minimum three years experience in data entry and analysis
- at least five years experience in the live entertainment industry
- experience with contracts is a plus
- proficient in Microsoft Outlook, including group scheduling, and Microsoft Office and database programs
- ability to navigate internal sales admin systems

Job Duties
- Provide daily support to the booking team for theaters, ballrooms, and amphitheaters
- create, prepare and review designated deal sheets in Rome for local and touring booking teams
- manage Rome calendars and liaise between third party venues calendars
- obtain all details and show information from artist representatives and act as communications liaison between artist, promoters, and venues
- complete and distribute show confirmations and updates to internal staff, venues and partners
- update and maintain offer templates, venue and artist info in Rome
- execute artist contracts, venue lease, and co-promotion agreements per company guidelines and return to artist agencies and venue partners
- request and distribute certificates of insurance as applicable in line with venue agreements
- complete artist deposit payments
- manage show files to ensure all essential documents are present prior to day of show, including contracts, riders, and W9s
- review scaling maps and monitor sold maps
- review ticket holds with ticketing department
- coordinate and communicate with production team regarding artist riders, CADs, and seating charts
- establish and maintain positive relations with agents, managers, and industry representatives
- create reports and distribute to stakeholders
- complete artist and venue show settlements night of show and post-show as needed
- assist with industry and guest ticketing requests and serve as liaison on site
- liaise with venues for artist/promoter specific requests such as suites, VIP access, parking
- attend events as local representative with venues, artist reps, and national touring teams
- conduct various research projects
- perform assorted office/administrative tasks
- coordinate internal event listings, communications, and credentials
- participate in booking team meetings and discussions and contribute new ideas on artists and best practices
