Job Requirements
- High school diploma or equivalent
- Previous experience in customer service or administrative roles
- Basic understanding of veterinary terminology preferred
- Strong communication skills and ability to handle sensitive conversations
- Ability to work a flexible schedule including nights, days, and weekends
- Attention to detail and organizational skills
- Proficiency in managing phone systems and scheduling software
Job Qualifications
- Previous experience in a medical or veterinary front desk, receptionist, or administrative assistant role
- Basic knowledge of veterinary terminology and procedures
- Comfort discussing sensitive topics such as end-of-life care and financial discussions with empathy
- Ability to maintain a calm, professional, and positive demeanor
Job Duties
- Be the first point of contact by greeting clients and pets warmly, complete the sign-in process, verify and confirm appointment details, and ensure clients feel informed and reassured
- Support clinical flow by escorting clients to exam rooms and assisting in relaying key information between clients and clinical staff
- Manage client communications by handling incoming calls for appointments, care questions, prescription refills, and more, and make outbound calls for appointment reminders and follow-up care
- Operate with accuracy by processing payments, managing invoicing, and scheduling future appointments with attention to detail
- Speak the language by understanding and communicating clearly about common vaccines, lab tests, procedures, pet behavior, and veterinary terminology
- Create a welcoming space by helping maintain a clean, organized, and client-ready environment including occasionally assisting with pet-related clean-up
- Provide knowledgeable service with confident communication in veterinary terms to facilitate better client understanding and care outcomes
