Job Requirements
- High school diploma or equivalent
- Valid State of Michigan driver’s license
- Automobile insurance and reliable transportation
- Minimum one year supervisory or leadership experience preferred
- Working knowledge of Microsoft Office
- Understanding of HIPAA and related laws
- Ability to work flexible hours including Saturdays
- Strong interpersonal skills and leadership ability
- Commitment to child and family welfare
- Ability to provide coverage for call-offs
- Ability to operate standard office equipment
Job Qualifications
- High school diploma or equivalent
- Associate's degree in Business Administration, Health Care Management, or related field preferred
- Minimum one year supervisory or office leadership experience preferred
- Proficient in Microsoft Office Suite
- Knowledge of HIPAA and release of information laws
- Excellent interpersonal and leadership skills
- Strong customer service and communication skills
- Ability to delegate and instruct office procedures
- Resourceful, flexible, and adaptable
- Ability to give and receive constructive feedback
- Professional and able to represent the agency positively
Job Duties
- Assess, coordinate, and monitor clerical workload to ensure efficient task completion
- Manage clerical staff schedules to cover all shifts across Behavioral Health office locations
- Coordinate and submit monthly safety inspections and attend quarterly safety meetings
- Develop systems to monitor case records for completeness, timeliness, and compliance
- Manage chart storage and requests through Iron Mountain
- Ensure positive customer service experience for clients in person and over the phone
- Maintain forms and materials necessary for smooth business operations
- Provide backup support for receptionists
- Type correspondence and reports accurately and professionally
- Manage Records/Release process and ensure compliance with policies
- Assist clinical staff with records requests
- Organize and manage Outpatient Roster Reports
- Assist receptionists in scheduling and document scheduling attempts
- Collaborate with outpatient therapists to support client service needs
- Identify and recommend process improvements
- Manage medication refill request line and coordinate with insurance and pharmacy
- Work flexible hours including rotating Saturdays and call-off coverage
- Assist in training new receptionists and provide ongoing training
- Perform other related duties as assigned
