Job Requirements

  • High school graduate
  • Three or more years of proven work experience in a customer service position, preferably as a concierge, front desk, or related position
  • Multi-line telephone console experience is strongly preferred
  • Ability to pass background checks including fitness for duty physical, fingerprinting, and employment references
  • Availability to work flexible hours as required
  • Strong organizational skills
  • Ability to handle emergency situations calmly
  • Effective communication skills
  • Proactivity in resolving resident concerns

Job Qualifications

  • High school diploma or equivalent
  • Three or more years of customer service experience, preferably in concierge or front desk roles
  • Experience with multi-line telephone console preferred
  • Strong communication and interpersonal skills
  • Ability to train and supervise reception staff
  • Proficiency in office administrative tasks
  • Knowledge of emergency response procedures
  • Ability to handle multiple tasks efficiently
  • Professional and courteous demeanor

Job Duties

  • Perform receptionist duties in Sur and Norte lobbies as assigned
  • Train all reception new hires on policies and procedures
  • Review receptionist duties with staff regularly to ensure proper training
  • Train reception staff on any new policies or procedures
  • Assist Director with scheduling of reception staff
  • Answer phones, greet visitors and residents, register visitors, monitor lobby security
  • Monitor emergency annunciator panels and respond according to facility policies
  • Maintain and update SARA (PET alarm) system and supplies
  • Produce daily PET pendant low battery reports and arrange battery replacements
  • Facilitate annual PET pendant testing
  • Keep Resident Face Sheet Binder up to date
  • Manage guest unit reservations, registrations, and check outs
  • Maintain resident census reports
  • Coordinate information distribution between reception and departments
  • Post emergency information on "Touchtown"
  • Dispatch and coordinate drivers for resident transportation needs
  • Plan and resolve problems relating to resident pick-up and drop-off
  • Contact residents about transportation issues and recommend alternatives
  • Answer phones for client bookings and enter dispatch details
  • Ensure residents needing escorts have escorts as per guidelines
  • Assist with timely input of resident billing information
  • Provide administrative support to the Director of Administrative Services
  • Maintain all contact lists for various departments
  • Manage supplies and service calls for office equipment
  • Support community operations and participate in facility activities
