Job Requirements

  • High school diploma or equivalent
  • Minimum of three years customer service experience
  • Proven ability to handle multi-line telephone console
  • Strong communication and interpersonal skills
  • Demonstrated leadership and training capabilities
  • Knowledge of receptionist duties and office protocols
  • Ability to handle emergencies and emergency systems
  • Proficiency in scheduling and administrative support tasks
  • Must be able to pass background checks including fitness for duty physical, fingerprinting, and employment references
  • Ability to work flexible hours
  • Professional appearance and attitude
  • Willingness to work in a senior living community setting

Job Qualifications

  • High school graduate
  • Three or more years of customer service experience preferably in concierge or front desk roles
  • Experience with multi-line telephone consoles strongly preferred
  • Strong leadership and team training skills
  • Excellent interpersonal and communication skills
  • Ability to manage multiple priorities and work in a fast-paced environment
  • Proficient in basic administrative duties and office software
  • Ability to respond calmly and effectively to emergency situations
  • Detail-oriented with strong organizational skills
  • Commitment to professional and courteous demeanor at all times

Job Duties

  • Performs receptionist duties in Sur and Norte lobbies as assigned
  • Train all reception new hires on policies and procedures
  • Review receptionist duties with reception staff regularly to ensure proper training
  • Train reception staff on any new procedures or policies
  • Assist Director with scheduling of reception staff
  • Perform receptionist duties including answering phones, greeting visitors and residents, registering visitors, monitoring lobby security
  • Monitor annunciator panels for emergencies and fire alarms and respond according to policies
  • Update and maintain SARA system and supplies
  • Produce daily PET pendant low battery reports and coordinate battery replacements
  • Facilitate annual PET pendant testing
  • Maintain Resident Face Sheet Binder
  • Manage guest unit reservations, registration, and checkout
  • Keep track of guest room spreadsheet and submit to accounting and Executive Director
  • Maintain resident census reports
  • Coordinate information distribution between reception desk and departments
  • Post emergency information on Touchtown
  • Dispatch and coordinate transportation drivers
  • Plan and resolve resident pick-up and drop-off logistics
  • Contact residents about transportation issues and recommend alternatives
  • Proactively resolve residents’ concerns
  • Answer phones for client bookings and enter details into dispatch system
  • Ensure residents needing escorts are provided escorts in compliance with policies
  • Assist with timely input of resident billing information
  • Interact professionally with residents
  • Assist Director of Administrative Services with projects
  • Maintain contact lists and distribute as appropriate
  • Manage supplies and service calls for office equipment
  • Support efficient operation of the community and participate in facility activities
