Job Requirements

  • Bachelor’s degree preferred
  • 5-7 years of experience in meeting and event planning
  • Experience in sourcing, contracting, budget management and logistics
  • Legal authorization to work in the United States without employer sponsorship
  • Excellent communication and relationship management skills
  • Strong project management and ability to deliver projects on time and within budget
  • Knowledge of local event market and vendor networks
  • Ability to work independently under deadlines on multiple projects
  • Capacity to manage high workload and stress
  • Proficiency in Microsoft Office and virtual meeting platforms
  • Commitment to exceptional client service

Job Qualifications

  • 5-7 years of relevant experience in planning complex meetings and events including sourcing, contracting, budget management and logistics
  • Must be legally authorized to work in the United States without employer sponsorship
  • Strong relationship management and communication skills
  • Proven project management abilities to understand scope, develop timelines and deliver on budget
  • Local event market expertise and vendor network
  • Solution and results oriented mindset
  • Ability to work independently on multiple projects under deadlines
  • Capacity to handle high volume workload and manage stress
  • Proficient with Word, Excel, Outlook and Zoom
  • Excellent customer service skills

Job Duties

  • Lead the development and implementation of process improvement strategies and initiatives
  • Collaborate with MES Leads to create and maintain onboarding and training materials, SOPs and process documents
  • Support management with onboarding, mentoring and training team members
  • Own and refine at least one specific process or portfolio for efficiency
  • Serve as subject matter expert in Meeting and Event Services
  • Manage, plan and execute the Deloitte Ecosystem & Alliance live event portfolio including industry conferences and trade shows
  • Provide onsite support at events throughout the year
  • Deliver engaging customer experiences at various event formats
  • Partner with Marketing on tradeshow booth production, technology integration and hospitality elements
  • Source venues and vendors aligned with event objectives and budget
  • Manage all event coordination including speaker, venue, vendor communication and cross-departmental collaboration
  • Communicate project status and updates consistently to stakeholders
  • Deliver exceptional client service with consultative, solutions-oriented approach
  • Manage forecast and maintain impeccable data integrity
  • Adhere strictly to meeting protocols including cost saving measures and contract approvals
  • Manage and produce virtual events including speaker agreements and vendor coordination
  • Interact frequently with leadership and external clients via meeting registration and coordination
  • Serve as the single point of contact for event sponsors and venues
  • Develop detailed run of show and event timelines
  • Review, manage and negotiate contracts with venues and vendors focusing on cost savings
  • Audit and submit event invoices for processing
  • Conduct post meeting reporting and reconciliation
