Job Requirements
- 5-7 years of relevant experience in planning complex meetings and events including sourcing, contracting, budget management, and logistics management
- Must be legally authorized to work in the United States without the need for employer sponsorship, now or in the future
- Ability to build relationships and trust quickly with leadership and stakeholders
- Ability to understand scope, create timelines and detailed event forecasts, and deliver on time to budget
- Knowledge of local event market with existing network of venues and vendors
- Ability to work independently on multiple projects simultaneously and meet deadlines
- Capability to handle high volume workload in a fast-paced environment
- Strong working knowledge of Word, Excel, Outlook, and Zoom preferred
- Excellent customer service skills
Job Qualifications
- 5-7 years of relevant experience in planning complex meetings and events including sourcing, contracting, budget and logistics management
- Excellent relationship management and communication skills
- Strong project management skills including scope definition, timeline creation, and budget delivery
- Expertise in the local event market with established vendor and venue networks
- Solutions and results oriented mindset
- Ability to work independently managing multiple concurrent projects under deadlines
- Proficient with Microsoft Word, Excel, Outlook, and Zoom
- Exceptional customer service skills
Job Duties
- Lead the development and implementation of process improvement strategies
- Collaborate with MES leads to create and maintain onboarding and training materials, SOPs, and process documents
- Support management with onboarding, mentoring, and training team members
- Own and refine specific processes or portfolios for optimization
- Serve as a subject matter expert in Meeting and Event Services
- Manage, plan, and execute the Deloitte Ecosystem & Alliance live event portfolio including conferences and trade shows
- Provide onsite support at multi-day events
- Deliver engaging customer experiences ranging from intimate dinners to large hospitality events
- Partner with Marketing on tradeshow booth production and technology integration
- Source venues and vendors to meet event objectives, budget, and requirements
- Manage day-to-day event coordination including communication with speakers, venues, vendors, and stakeholders
- Communicate project status and updates consistently to stakeholders
- Deliver exceptional client service with a consultative, solutions-oriented approach
- Ensure forecast management and data integrity
- Adhere to meeting protocols including cost saving measures and contract approvals
- Manage and produce virtual events including coordinating speaker agreements and vendor relations
- Interact frequently with firm leadership and external clients through event registration and coordination
- Serve as the single point of contact for event sponsors and venues
- Develop detailed run of show and event timelines
- Review, negotiate, and manage contracts with venues and vendors
- Audit and submit event invoices for processing
- Conduct post-meeting reporting and reconciliation
