Job Requirements

  • Bachelor’s degree or equivalent work experience
  • minimum three years of relevant work experience
  • USAV event experience
  • experience with event registration systems preferred
  • ability to work collaboratively with diverse internal and external stakeholders
  • ability to sit or stand for long periods during events
  • willingness to travel up to 14 days
  • proficiency in Microsoft Office, especially Excel
  • strong organizational and communication skills
  • successful completion of USAV background screening
  • completion and maintenance of SafeSport training

Job Qualifications

  • USAV event experience is required
  • bachelor’s degree, business or sport administration or related degree or equivalent work experience
  • minimum three years of relevant work experience
  • experience using event registration systems preferred
  • ability to work collaboratively with internal staff and external constituents to include parents, sponsors, vendors, clubs, and coaches
  • requires the ability to sit/stand for extended periods of time in a convention center setting
  • ability and willingness to travel for extended period of time (potentially up to 14 days)
  • proficient knowledge of Microsoft Office applications with emphasis on Microsoft Excel
  • strong organizational and communication skills with attention to detail
  • must successfully pass a USAV background screen (prior to hire date)
  • must complete SafeSport training within two weeks of hire date and keep current as a condition of continued employment

Job Duties

  • Ensure overall quality standards of designated events including assisting with budgeting, event logistics, team registration and support and event execution
  • prepare operational plans, schedules, and post-event reports to assess success and identify areas for improvement
  • work with internal departments to include IT, Membership, Marketing, Brand and Communications, Officials, Safe Sport, Spectator Admissions, and Warehouse operations to optimize event promotion, experiences, and safety
  • plan and coordinate with external partners to secure convention center court space, court labor, equipment rentals (AV, forklift, bleachers, etc.) and security
  • identify, secure and service sponsors and vendors and in-venue promotions
  • ensure independent contractors meet service deliverables per contractual terms
  • coordinate all pre-event aspects of the designated Qualifying Events, including, but not limited to team registration and team tracking (housing, roster eligibility) and work with the seeding committee
  • serve as a primary contact for direct inquiries and/or requests, elevate matters when appropriate to the applicable manager and/or director
  • verify and process all incoming event-related revenues and enter process event registrations for assigned events
  • work with warehouse operations to prepare, pack, distribute, or ship all event materials and equipment
  • identify and contract independent contractors, communicate and ensure contractual terms are met and process remuneration based on fulfillment of agreement
  • verify registrations with the event management system and work with volleyball regions and teams concerning registrations and data
  • ensure qualifier results are posted in a timely manner and invoice qualifiers post events
  • forecast and procure appropriate VIK inventory levels for assigned events
  • budget and procure awards (medals, trophies, and ribbons) and assign awards committee to present awards at assigned events
  • respond to email inquiries from the general events mailbox that pertain to the assigned events
