Job Requirements

  • Authorized to work lawfully in the United States
  • ability to work up to 25 hours per week
  • availability on weekdays for client calls
  • 100 percent availability on event days
  • no more than two events per week
  • strong proficiency with Google Workspace tools
  • ability to manage administrative tasks and documentation

Job Duties

  • Join all client calls, listening in and supporting as needed and directed by Account Manager
  • create and keep the note-taking document and client Event Deck for each event up-to-date and relevant
  • update Master Operations Document, calendar invites, Staff Shift Document, and others as requested by the Account Manager throughout the planning process
  • support in designing custom materials for clients, including using Canva or coordinating with vendors or marketing team
  • populate venue and site layouts as needed
  • print and pick up materials needed for events such as MC script, staff packets, custom signage
  • create staff event materials including MC talking points, check-in sheet and waiver tracker
  • oversee inventory is accurately ordered and accounted for at the event
  • manage WhatsApp group chat with staff
  • lead staff huddle pre-event to prep team and train if necessary
  • oversee inventory at event including unpacking, placement and packing
  • lead post-event huddle to gather staff feedback
  • liaise with Account Manager on-site for smooth event execution
  • manage staff on day of event
  • oversee event setup and inventory
  • act as Master Scorekeeper at Field Days
  • liaise with onsite events team including vendors, venue and staff on updates, client requests
