Job Requirements

  • Bachelor’s degree preferred
  • Minimum three years of congress event planning experience
  • Proficiency with Cvent or similar event management systems
  • Strong organizational skills
  • Excellent written and verbal communication abilities
  • Ability to work collaboratively with multiple stakeholders
  • Flexibility to travel up to 40 percent of the time
  • Must be able to start by early February

  • Interest in data and detail orientation

Job Duties

  • Establish a project timeline and workflow schedule with client and suppliers
  • Use business program management system to manage programs from contract turnover to final billing
  • Negotiate contracts and handle additional needs for hotels, destination management companies, air services, and third-party vendors
  • Communicate with IT support and clients to manage web requirements
  • Coordinate and attend site inspections as needed
  • Produce program itineraries and agendas
  • Conduct program debriefs with clients
  • Maintain accurate records and system inputs compliant with company and client policies
  • Evaluate program impact and plan for continuous improvement
  • Partner with teams to communicate registration and air needs
  • Assist with congress meetings including large scale and confidential events
  • Promote a positive team environment
  • Maintain proactive and open communication with clients
  • Lead and communicate program requirements to the team
  • Conduct regular status meetings with clients and stakeholders throughout program
  • Ensure all program objectives are met
