Job Requirements

  • Associate degree or equivalent experience in education or STEAM related fields
  • Minimum of 3 years experience in project coordination preferably in educational or visitor audience settings
  • Experience with exhibition, program, or event coordination
  • Proficiency in Microsoft Office suite
  • Familiarity with project management tools like Workfront, Monday.com, or MS Project is desirable
  • Willingness to work occasional hours beyond Monday to Friday, 9 a.m. to 5 p.m.
  • Strong organizational and multitasking abilities
  • Excellent communication and interpersonal skills
  • Capacity to adapt to changing environments and demonstrate a service-oriented mindset
  • Ability to sit for 60 percent of work time, stand for 15 percent, and walk for 25 percent
  • Physical ability to lift or carry 25 pounds and push or pull up to 50 pounds
  • Repetitive motion capability for typing
  • Normal vision and coordination

Job Qualifications

  • Associate degree or 2+ years of equivalent experience in education or STEAM related experiences
  • 3+ years of experience in project coordination within school or visitor audience environments preferred
  • Experience coordinating exhibitions, programs, special events, or related multi-disciplinary team projects
  • Proficiency with Microsoft Office software
  • Experience with project management software preferred such as Workfront, Monday.com, or MS Project
  • Availability for occasional work outside standard business hours
  • Exceptional organizational and time management skills
  • Effective communicator with strong listening, presentation, and interpersonal skills
  • Adaptable and comfortable working in dynamic environments

Job Duties

  • Serve as primary contact for invention convention worldwide affiliates to support their program needs, meetings, documentation, and communications
  • Provide administrative and logistical support including development, planning, execution, documentation and evaluation of all ICW programs and events affiliate meetings, invent it forward summit, U.S. nationals in collaboration with the senior manager and manager, team operations and logistics
  • Manage the zFairs online registration platform, including enrollment, data accuracy, and user support
  • Ensure all ICW program documentation and standard operating procedures are kept current
  • Maintain inventory of ICW program materials and supplies
  • Oversee and coordinate material and creative service requirements for the ICW team, working with the manager of team operations and logistics
  • Support ongoing communications with ICW network affiliates including meeting reminders, updates, recordings, recognition activities, and digital content creation
  • Maintain and update affiliate and stakeholder databases and produce digital content highlighting program impacts
  • Support event planning logistics and execution for ICW events such as U.S. Nationals and the Invent It Forward Summit including scheduling, accommodation, transportation, facilities, catering, and audiovisual needs
  • Coordinate ICUSN Scholarship Program with support of senior manager and manager, team operations and logistics
  • Oversee registration and customer service operations for ICW events with management of event registration platforms and issue resolution
  • Assist with check-in, volunteer and judge coordination, on-site customer service, event strike, and patent sponsor recaps
  • Ensure accurate execution and timely delivery of assigned tasks and project requirements
  • Contribute to effective team management by supporting problem-solving, sharing expertise, and assisting cross-functional partners
  • Perform additional assignments as required for successful program delivery
