Job Requirements

  • Must be a current ACCGov employee
  • associate degree in Secretarial Science or a related field with four years of progressively responsible administrative or executive level experience or equivalent combination of education, training, and experience
  • valid driver’s license
  • ability to acquire Notary Public status
  • ability to work Monday through Friday from 8:00 a.m. to 5:00 p.m. with occasional evenings
  • regular and predictable attendance
  • ability to operate office machinery
  • ability to work cooperatively with others
  • ability to manage multiple priorities and confidential information
  • physical capability to perform sedentary work with occasional lifting up to 10 pounds

Job Qualifications

  • Associate degree in Secretarial Science or related field
  • four years of progressively responsible administrative or executive level experience
  • ability to prepare, organize and maintain detailed records and reports
  • proficiency in computer software and office equipment
  • knowledge of local ordinances, laws, and government policies
  • strong interpersonal and communication skills
  • valid driver’s license
  • ability to obtain Notary Public status
  • capability to handle confidential information with discretion

Job Duties

  • Prepares, edits, copies and/or types correspondence, memoranda, reports or other related materials
  • implements administrative procedures and practices
  • assists with other projects and events as necessary
  • receives, processes, forwards and/or replies to incoming/outgoing mail, telephone calls and correspondence
  • assists with the creation and maintenance of office files
  • maintains the calendars
  • prepares spreadsheets and databases, as required
  • researches and prepares project status reports, budget analyses, and information on policies and procedures for presentation to various staff members and elected officials
  • reviews, prioritizes, and schedules work requests, facility usage, appointments, events, meetings and conferences
  • maintains calendar of events
  • makes travel and accommodation arrangements if necessary
  • prepares and processes travel reimbursements and other related documents
  • performs personnel administration duties for the office including maintaining employee personnel files, preparing payroll time sheets, completing personnel action forms and other personnel records
  • assists staff, governmental employees, elected officials and the general public by researching and providing information for various purposes and inquiries
  • assists with coordinating office communication by relaying messages, disseminating information, and scheduling meetings
  • prepares requests for payment, vendor master file forms, travel requests and reimbursements, fixed asset transactions, and purchase requisitions
  • monitors departmental expenditures
  • reconciles PCard transactions
  • inventories and assesses need for materials or equipment
  • coordinates, processes, reviews, submits and verifies bids, purchase orders, invoices and payment authorizations
  • administers and maintains petty cash account
  • prepares the operating budget for the Mayor
  • collects, enters, maintains, revises and updates information and certificates in various computer and filing systems
  • may attend training sessions and seminars
  • performs other duties as assigned
