Job Requirements
- High school degree or equivalent
- Three to five years of relevant work experience
- Proficiency in Microsoft Office
- Ability to handle confidential information
- Valid State of Hawaii driver’s license or equivalent
- Ability to work onsite
- Excellent organizational and multitasking skills
- Strong communication and interpersonal skills
- Ability to work long and irregular hours when required
Job Qualifications
- High school diploma or equivalent
- Bachelor’s degree preferred
- Three to five years of experience as an Executive Assistant or similar role
- Preferable experience in human resources
- Proficient in Microsoft Office Suite
- Exceptional writing, editing and proofreading skills
- Strong time-management and organizational skills
- Ability to maintain confidentiality and handle sensitive documents
- Effective communication skills
- Flexible and adaptable team player
- Strong attention to detail
- Valid State of Hawaii driver’s license or equivalent
Job Duties
- Coordinate and support VP and CHRO for meetings such as RCHRO, Personnel and Compensation, and Board related meetings
- Organize and prepare meetings including agenda preparation, document gathering, minute taking, setup and logistics
- Prioritize meetings and ensure timely completion and distribution of minutes
- Manage VP and CHRO’s schedule and calendar including appointments and meetings coordination
- Manage communication between VP and CHRO and employees, partners and stakeholders
- Respond to inquiries and requests promptly
- Prioritize emails and respond as necessary
- Compile, reconcile and process expense reports
- Manage correspondence, memos, reports and invoices
- Screen visitors and manage office access
- Review and redistribute incoming and outgoing documents
- Organize and maintain office filing system
- Research and organize data as requested
- Assist VP and CHRO with special projects
- Assist in prioritizing tasks and managing workloads
- Maintain various departmental application systems
- Gather and merge data for annual local, state and federal reports
- Manage information flow timely and accurately
- Assess situation urgency and determine appropriate action
- Coordinate travel and accommodation for VP and CHRO and HR staff
- Serve as Merit Appeals Board Executive Assistant including hearing coordination and minute taking
- Arrange procurement of supplies and equipment for HR
- Schedule and coordinate HR events
- Assist HR staff with major projects
- Serve as HR receptionist and cover other secretarial roles
- Perform other duties as assigned
