Job Requirements

  • High school diploma
  • Minimum of 3 years of experience in an administrative or human resources support role
  • Ability to manage sensitive, complex, confidential information and maintain confidentiality
  • High level of computer proficiency including Google (G-Suite) and Microsoft Office Suite
  • Adept at maintaining and improving procedural processes
  • Ability to work virtually and in the office
  • Detail-oriented with good organization skills and a high degree of accuracy
  • High level of computer proficiency including Mac OS
  • Ability to travel outside of Boulder up to 10 percent a year

Job Qualifications

  • Associate's and/or Bachelor’s degree
  • Previous experience with applicant tracking systems (ATS), payroll/accounting systems, HRIS, and project management software
  • aPHR/PHR or SHRM-CP certification

Job Duties

  • Conduct technical support such as job posting, communication with hiring leaders and candidates, folder organization, interview support, and reference checks
  • Collaborate with Human Resources and Technology teams to onboard new team members, process offer letters, create and maintain personnel files, complete I-9 E-Verify requirements, and ongoing file maintenance
  • Manage team member birthday celebrations and gifts
  • Coordinate anniversary recognition and gifts
  • Coordinate life events cards, gifts, or recognition
  • Oversee new team member welcome packages
  • Support employee recognition initiatives
  • Maintain physical inventory of team member items
  • Manage team member documents and file systems (electronic and paper)
  • Oversee employee public files
  • Provide comprehensive administrative support to the COO including initial point of contact for emails and phone calls
  • Provide meeting support such as note-taking, documentation, and technical assistance for monthly all-staff meetings and organizational gatherings
  • Write and edit memos for the COO and business services directors
  • Plan and coordinate team retreats and organizational gatherings
  • Assist with end-of-year reporting and coordinate quarterly all-team activities
  • Manage multiple Google Calendars and schedule meetings with logistics coordination
  • Create and update PowerPoint and Google Slides presentations
  • Develop and maintain spreadsheets in Microsoft Excel and Google Sheets
  • Ensure physical office space remains orderly and welcoming
  • Process office mail and bank deposits
  • Receive and distribute mail
  • Check voicemails
  • Handle shipments and troubleshoot non-IT equipment
  • Create accounts for new employees and maintain laptop inventory tracking
  • Assist with payroll and accounting system data entry
  • Perform other duties as assigned within the scope of the position
