Job Qualifications

  • minimum two years’ experience in a professional setting providing administrative support
  • intermediate experience in using microsoft office applications

Job Duties

  • serve as the first point of contact for visitors and callers
  • route inquiries appropriately and professionally
  • welcome onsite visitors, issue badges when required, and notify hosts of arrivals
  • manage and maintain the visitor/vendor and security access platforms
  • monitor visitor access and comply with site security protocols
  • receive, sort, and distribute mail and deliveries
  • coordinate meetings and events, reserve space, send invitations, and arrange food and materials
  • prepare and distribute documents and information packets
  • support companywide employee programs such as anniversaries and recognition
  • maintain confidentiality and adhere to all compliance and data protection standards
  • perform additional administrative and clerical duties as assigned
  • report food safety concerns to management when observed
  • support recruiting activities including scheduling interviews, coordinating pre-employment testing, and maintaining applicant tracking systems
  • process internal applications and support hiring documentation
  • enter and maintain employee data, create, scan, and audit electronic employee files
  • support new hire onboarding, including day-one security and access setup
  • conduct regular i-9 audits to ensure compliance
  • perform all other additional duties as assigned
