Job Requirements

  • High school diploma or equivalent
  • Prior hospitality industry experience preferred
  • Ability to work some weekends and evenings based on event bookings
  • Basic computer proficiency
  • Strong organizational and time management skills
  • Ability to lift up to 25 pounds occasionally
  • Effective communication skills
  • Ability to multitask in a fast-paced environment
  • Flexibility to work collaboratively with various departments

Job Qualifications

  • Prior experience working in hospitality sales, hotel front desk, catering, or events
  • Ability to read and interpret safety rules, operating instructions, and procedure manuals
  • Ability to write routine reports and correspondence
  • Effective oral communication skills before groups of customers or employees
  • Basic mathematical skills including algebra and geometry concepts
  • Problem-solving skills in situations with limited standardization
  • Ability to interpret written, oral, diagrammatic, or schedule instructions
  • Professional appearance and demeanor

Job Duties

  • Maintain and update all active files and log in pick-up of room nights and food and beverage after events in the sales database system
  • Uncover information from meeting planners to aid hotel outlets in staffing and preparation
  • Support Sales Department with deliveries, shipments, and disbursement of group equipment and collateral
  • Update functions as group agendas become finalized to minimize space needs and notify management of changes
  • Attend sales and property-specific meetings
  • Stay aware of entire hotel operations
  • Follow up with group blocks prior to cut-off date and confirm group room pick-ups
  • Answer incoming calls and direct or handle requests
  • Provide phone, email, and office coverage to assist customers
  • Block space, detail and create Banquet Event Orders (BEOs) for all meetings and events
  • Prepare group resumes, daily function reports, and BEO packets ensuring distribution throughout the hotel
  • Resolve issues, complaints, or problems ensuring quality delivery and client satisfaction
  • Ensure billing, commission payments, deposits are accurate and processed
  • Conduct hotel site tours when needed and assist with site visit preparations
  • Assist Sales Managers with group rooming lists, convention kits, and sales collateral
  • Type proposals, contracts, and BEOs timely and maintain files
  • Keep Sales Managers and Director informed of messages taken during their absence
  • Attend pre-conference meetings to ensure client satisfaction
  • Maintain professional relationships with departments, team members, and guests
  • Present a clean, professional image to project positive appearance
  • Perform additional duties as assigned by Sales Managers, Director, or General Manager
