Job Requirements
- High school diploma or equivalent
- Prior experience working in hospitality sales, front desk, catering or events
- Ability to read and interpret safety rules, operating instructions, and procedural manuals
- Ability to speak effectively before groups
- Basic math proficiency including calculations for discounts, commissions, and measurements
- Ability to follow detailed instructions and procedures
- Strong problem-solving skills
- Ability to adjust to changing event schedules
- Must be able to work some weekends and evenings based on booked events
- Ability to lift and move up to 25 pounds occasionally
- Close and distance vision
- Good hearing and verbal communication skills
Job Qualifications
- Prior experience in hospitality sales, hotel front desk, catering or events
- Ability to communicate effectively with clients and team members
- Experience with reservation systems like FOSSE or OnQ is a plus
- Strong organizational and multitasking skills
- Ability to write reports and correspondence
- Basic math skills including algebra and geometry concepts
- Ability to solve practical problems with limited standardization
- Ability to interpret written, oral, and diagram instructions
- Flexibility to work some weekends and evenings
- Professional and friendly demeanor
Job Duties
- Maintain and update all active files
- Log room nights and food and beverage pick-up weekly in sales database
- Gather detailed information from meeting planners to aid hotel staffing
- Support sales department with deliveries and group equipment disbursements
- Update function agendas in booking systems and notify sales management of changes
- Attend sales and property-specific meetings
- Follow up with group blocks prior to cut-off dates
- Answer incoming calls and provide customer assistance
- Provide phone, email, and office coverage
- Block space, detail and create BEOs for all meetings and events
- Prepare group resumes, daily function reports, and BEO packets
- Resolve client issues and ensure quality product delivery
- Ensure accurate billing, commissions, deposits processing
- Conduct hotel site tours and assist with sales visit preparations
- Assist with inputting group rooming lists and preparing sales collateral
- Type proposals, contracts and BEOs timely
- Keep sales managers informed of messages
- Attend pre-conference meetings to ensure client satisfaction
- Maintain professional relationships with team and guests
- Present a clean, professional image
- Perform additional duties as requested
