Job Requirements

  • Minimum five years management experience in hospitality or event planning
  • Bachelor’s degree or equivalent work experience
  • Excellent communication skills
  • Ability to work flexible schedule including early mornings and evenings
  • Strong organizational and leadership skills
  • Prior experience in high-end event planning is preferred
  • Familiarity with conferencing equipment is a plus

Job Duties

  • Manage guest experience by establishing and maintaining an optimal guest experience as a core priority
  • Collaborate with stakeholders to plan and execute firm-related events onsite and offsite
  • Curate locations, vendors, food and beverage options through Chicago area contacts
  • Manage event budgets including estimates, cost tracking, and reconciliation
  • Maintain detailed event organization and provide timely updates to organizers and hosts
  • Coordinate catering services with contracted provider Epiq and ensure setup
  • Provide refined event planning with attention to detail and enhancement recommendations
  • Brief Receptionists daily on events and guests to ensure smooth arrivals
  • Review and manage event/meeting requests via the Ask Cody booking system
  • Coordinate IT for technology setup and troubleshooting for scheduled meetings
  • Oversee quality control for conference room setups and follow up with service providers
  • Direct Epiq Site Manager and staff to cover daily firm needs
  • Handle last-minute room requests and coordinate necessary equipment and resources
  • Manage food and beverage needs including ordering, inventory, and rotation
  • Foster an inviting atmosphere throughout the office
  • Resolve building security and dock access issues for visitors and vendors
  • Ensure reception coverage during firm hours and after hours as needed
  • Directly manage Receptionists including scheduling, training, and performance oversight
  • Proactively propose ideas for improving client experiences
  • Perform other duties as assigned
