Job Requirements

  • Minimum five years management experience in hospitality or event planning
  • Bachelor's degree or equivalent work experience
  • Strong communication skills
  • Ability to work flexible schedules including early mornings and evenings
  • Prior high-end event planning experience preferred
  • Familiarity with conferencing equipment and technology preferred

Job Duties

  • Manages the guest experience from the venue user's perspective by establishing, inspiring and maintaining an optimal guest experience
  • Collaborates with key stakeholders and departments to plan and execute firm-related events onsite and off-premises
  • Calls upon Chicago area contacts to curate locations, vendors, supplies, food and beverage options for business and social events
  • Manages event-related budgets including vendor estimates, cost tracking and post-event expense reconciliation
  • Maintains organized details for each event and keeps organizers and hosts informed
  • Works closely with contracted service provider on delivery and setup of catering and amenities
  • Briefs receptionists on daily events and guests to ensure smooth arrival experience
  • Reviews event requests via booking system and engages IT team to confirm technology arrangements
  • Manages quality control of conference room setups and coordinates with service provider to resolve issues
  • Directs site manager and staff to cover daily firm needs
  • Handles last-minute room requests and coordinates equipment, resources, amenities and supplies
  • Manages all food and beverage needs including catering orders and inventory
  • Cultivates an inviting and enjoyable office atmosphere
  • Resolves any building security or dock access issues for visitors and vendors
  • Ensures reception coverage during firm hours and manages receptionists including scheduling and training
  • Proactively delivers new ideas to improve client experience
  • Performs other duties as assigned
