Job Requirements
- Some equine experience required
- High school diploma, GED or equivalent combination of education, and/or experience
- Knowledge of clerical procedures such as alphabetizing files and records
- Good organizational skills
- Customer service experience
- Must be flexible with scheduling
- Medical terminology and knowledge of the equine and thoroughbred industries
- Previous experience in the Thoroughbred industry in Central Kentucky preferred
- Relevant experience working with or around veterinarians preferred

Job Duties
- Answer phones, assist clients as needed, escalating to other Hospital Administrators as needed
- Welcome and host clients/visitors in a professional manner
- Provide telephone support for the hospital
- Maintain calendars, including surgeon's in-clinic patient calendar
- Send appropriate communication to clients regarding appointments and prepare necessary documents for admissions and discharges
- Respond to inquiries about services and refer to appropriate staff
- Receive and distribute incoming mail and process outgoing mail
- Coordinate and schedule appointments and provide reminders and special instructions to clients
- Use Office 365, ezyVet, and FileMaker to support operations
- Respond to client emails, type and edit correspondence, and process faxes
- Type up doctoral dictations
- Handle onsite interactions on Saturdays and Sundays
- Provide backup for sales work on weekends
- Maintain cleanliness of front lobby
- Provide backup support for full-time receptionists
- Organize and track office equipment, order supplies, maintain storage closet cleanliness
- Submit invoices, call vendors for appointments, and assist with hospital events as assigned by Hospital Manager
