Job Requirements
- High school diploma or equivalent
- Previous experience in event coordination or hospitality
- Experience working in the horse racing or sales industry preferred
- Ability to work nights and weekends
- Strong organizational and multitasking skills
- Excellent communication abilities
- Physical ability to lift and move up to 50 pounds
- Proficiency with Microsoft Office and Adobe software
- Strong interpersonal skills
- Ability to work independently and as part of a team

Job Duties
- Handle horsemen reservations
- Coordinate race day accommodations including dining, ticketing, parking, and hotels
- Collaborate with internal departments to execute horsemen-related hospitality
- Assist with ETix training for support positions
- Reconcile daily iCard charges for horsemen billing accuracy
- Manage undercard Julep Cup and milestone trophy programs including tracking, ordering, engraving, packaging, and delivery
- Coordinate recognition and hospitality for leading owners, trainers, and jockeys
- Review and approve menus and event details with Special Events
- Maintain and update master guest list for all events
- Execute assigned events such as Paddock Party, Equestrian Room, New Building Activations, Book 1 Brunch, Book 1 Celebration, and Barn Activations
- Assist with additional sales and racing events including Championship Sale
- Manage Million Dollar Gifting Julep Cup Program for specified sales
- Oversee Sales Sponsored Race Julep Cups
- Manage Sales gifting program including inventory, sourcing, packaging, and delivery
- Create and update Standard Operating Procedures
- Develop form documents and communication overviews for department alignment
- Maintain project lists for activation and event execution timelines
- Manage and update event budgets
