Job Requirements
- High school diploma or equivalent
- Prior experience in office administration or receptionist role preferred
- Proficiency in Microsoft Office and Google Workspace applications
- Excellent communication and interpersonal skills
- Ability to handle multiple tasks and work under pressure
- Basic knowledge of bookkeeping and QuickBooks is an advantage
- Bilingual proficiency is a plus
- Reliable and punctual with strong organizational skills
Job Qualifications
- Proven experience in office management or administrative support roles with clerical experience preferred
- Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic data entry skills
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
- Exceptional phone etiquette with experience managing multi-line phone systems and providing customer support
- Bilingual abilities highly desirable to serve diverse client needs effectively
- Knowledge of QuickBooks or bookkeeping is a plus for handling basic financial tasks
- Experience as a dental or medical receptionist is advantageous for understanding specialized front desk procedures
- Personal assistant or calendar management experience helps streamline scheduling processes
- Ability to perform typing quickly and accurately while maintaining high attention to detail for proofreading documents
- Strong time management skills to prioritize tasks effectively throughout the workday
Job Duties
- Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression
- Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
- Handle incoming correspondence, emails, and inquiries with promptness and professionalism
- Maintain organized front desk area, including filing, data entry, and updating records using Microsoft Office and Google Workspace tools
- Schedule appointments, manage calendars, and coordinate meetings for staff or management as needed
- Assist with office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and document proofreading
- Support administrative functions including data entry, filing, and maintaining office records with attention to detail
