Job Requirements

  • High school diploma or equivalent
  • Prior experience in office administration or receptionist role preferred
  • Proficiency in Microsoft Office and Google Workspace applications
  • Excellent communication and interpersonal skills
  • Ability to handle multiple tasks and work under pressure
  • Basic knowledge of bookkeeping and QuickBooks is an advantage
  • Bilingual proficiency is a plus
  • Reliable and punctual with strong organizational skills

Job Qualifications

  • Proven experience in office management or administrative support roles with clerical experience preferred
  • Strong computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and basic data entry skills
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Exceptional phone etiquette with experience managing multi-line phone systems and providing customer support
  • Bilingual abilities highly desirable to serve diverse client needs effectively
  • Knowledge of QuickBooks or bookkeeping is a plus for handling basic financial tasks
  • Experience as a dental or medical receptionist is advantageous for understanding specialized front desk procedures
  • Personal assistant or calendar management experience helps streamline scheduling processes
  • Ability to perform typing quickly and accurately while maintaining high attention to detail for proofreading documents
  • Strong time management skills to prioritize tasks effectively throughout the workday

Job Duties

  • Greet visitors and clients warmly, providing exceptional customer service and ensuring a positive first impression
  • Manage multi-line phone systems, directing calls accurately and professionally using proper phone etiquette
  • Handle incoming correspondence, emails, and inquiries with promptness and professionalism
  • Maintain organized front desk area, including filing, data entry, and updating records using Microsoft Office and Google Workspace tools
  • Schedule appointments, manage calendars, and coordinate meetings for staff or management as needed
  • Assist with office management tasks such as supply inventory, basic bookkeeping using QuickBooks, and document proofreading
  • Support administrative functions including data entry, filing, and maintaining office records with attention to detail
