Job Requirements
- High school diploma or general education degree (GED)
- minimum 2-5 years experience in hotel group reservations or similar higher role
- prior experience supporting customer service employees
- strong interpersonal communication skills
- occasional ability to lift up to 30 pounds

Job Qualifications

- ability to negotiate and resolve conflicts diplomatically
- supervisory skills to act as interim supervisor when necessary
- capability to work weekends and flexible hours
- willingness to work in a fast-paced, team-oriented environment
Job Duties
- Build continuous relationships with multiple clients and meeting contacts in all rooming aspects
- have working knowledge of meeting room locations and the entire Broadmoor property to explain different hotel features to clients
- facilitate sales through 1-on-1 site visits showing sleeping accommodations and property highlights
- maintain close rapport with clients from initial contact through group checkout
- be on call duty for all corporate groups with up-to-date knowledge of group details
- safeguard hotel interests by managing occupancy and waitlists without overselling
- monitor daily room pick-up numbers
- ensure sleeping accommodations meet contract terms protecting client and hotel needs
- attend pre-conferences and site visits during weekends
- negotiate disputes and guest concerns tactfully during all phases of group conferences
- provide clients with detailed post-conference room reports
- communicate with sales managers regarding letters of guarantee and rooming lists
- work closely with the sales department advising on contract changes and sell status
- coordinate room reservations for groups of various sizes ensuring VIP upgrades
- manage subgroups including billing, contract authorization, and rooming lists
- assist reservation staff during high call volumes
- act as the supervisor in the absence of the Director and Reservations Supervisor
- handle pre-billing to streamline financial transactions
- adapt to last-minute client changes
- multitask across multiple groups and departments
- assist clients with overflow hotel needs
- proficiently use LMS, Passkey, and DELPHI computer systems
- field calls regarding room availability and block changes
- verify group worksheets for special instructions
- maintain contact with meeting planners to handle all room block details
- enforce adherence to group cut dates
- manage telephone reservations and sales including changes and customer inquiries
- sell hotel gift cards and service reservations like dining and golf
- perform administrative duties including faxing, emailing, proofreading, mailing confirmations and filing
- work efficiently in a fast-paced team environment
- uphold Broadmoor’s policies, procedures, and safety guidelines
- perform other duties as assigned
