Job Requirements
- One year of general office clerical experience
- One year progressively responsible experience related to reservation operations
- Six months of experience demonstrating knowledge of reservation principles and regulations
- Ability to handle large amounts of cash
- Proficiency with personal computers and software
- Substitution of education for experience allowed with one-half academic year of study equating to six months of experience
- High school diploma or equivalent
- Ability to work full-time with a schedule of 35 plus hours per week
Job Qualifications
- One year of general office clerical experience demonstrating satisfactory clerical skills
- At least one year progressively responsible experience in reservation operations and guest services
- Knowledge of reservation principles, concepts, standards, and regulations
- Ability to use personal computers and various software programs
- Ability to handle and account for large amounts of cash
- Strong communication and interpersonal skills
- Customer service orientation
- Ability to manage billing and payment processes
- Experience using property management and reservation systems
- Ability to maintain guest privacy and security

Job Duties
- Acts as the primary point of contact for all group reservations
- Creates and corresponds swiftly to email requests concerning guest/group reservation bookings to ensure room inventories remain accurate to prevent overbooking
- Receives requests and processes group reservations of 5 or more persons within established guidelines and administers all group contracts
- Provides certificate of non-availability and/or alternative lodging when rooms are not available
- Maintains contact with Central Reservation System to ensure room inventories are accurate
- Utilizes online Management Console to verify and update room inventories to prevent overbooking
- Verifies the Arrivals List daily and resolves inconsistencies
- Utilizes Property Management System to register guests, assign rooms, secure and authorize credit cards, issue room keys, maintain guest accounts, and process payments
- Greets groups upon arrival with pre-made keys and registration forms
- Provides information on hotel facilities and local attractions
- Handles customer complaints effectively and involves management as necessary
- Manages change fund, prepares Close Bank Report and deposits cash receipts
- Sets up direct bills and liaises with front desk on billing issues
- Ensures guest security and privacy at all times
- Performs other related duties as assigned
