Job Requirements

  • HS diploma
  • Bachelors degree preferred
  • 5+ years experience in similar position in global corporate travel and events
  • Cultural sensitivity, international experience preferred
  • Experience with Navan platform preferred
  • Experience with Workday preferred
  • Established relationships with vendors
  • Experience in managing budgets and tracking expenses
  • Proficient with Microsoft Office suite of products

  • Experience in event planning or event coordination in a corporate environment
  • Experience working with colleagues in graphic design, sales, marketing, and communications
  • Highly motivated self-starter, problem solver, team player
  • Excellent organizational, verbal, and written communication, negotiating, and multitasking skills
  • Ability to remain calm under pressure and maintain a customer-service mindset
  • Analytical skills

Job Duties

  • Oversee the planning and execution of major events and trade shows each year
  • Keep budgets and timelines under control
  • Make travel arrangements for individuals, groups, and organizations, including scheduling flights and ground transportation, booking accommodations, and handling any other trip-related tasks
  • Analyze spend in categories such as airlines, hotels, etc., to identify preferred vendors and negotiate further discounts as spend increases
  • Develop a complete understanding of the requirements for global events
  • Research vendors and make selections based on their creativity, quality, and cost
  • Book venues, schedule guests, review and finalize contracts, and lock down day-of logistics, while complying with all national and local regulations
  • Develop content for event materials and work with the marketing team to produce within compliance
  • Hire personnel as needed across all functions of an event such as registration, setup, catering, audio/visual
  • Handle day-to-day administration of events and programs including order placements, banquet event order reviews, vendor monitoring, travel planning, restaurant reservations, attendee participation, registration counts, RSVP tracking, and issues resolution
  • Handle corporate travel bookings and itinerary coordination, using the Navan platform
  • Develop, implement, and enforce global travel policies that ensure cost-effectiveness and compliance
  • Collect and analyze travel and event data to identify trends, measure program effectiveness, and inform future strategy
  • Manage the promotional merchandising spend category over time
