Job Requirements

Job Qualifications

- 3 to 5 years of experience in process improvement, inventory management, logistics, supply chain, or operations

- knowledge of international shipping regulations and trade compliance
- proficiency with inventory management and sample tracking tools
- ability to analyze data and lead forecasting efforts
- detail-oriented with strong organizational skills
Job Duties
- Manage the Desert Depot sample shipping team responsible for daily sample fulfillment operations
- set clear performance expectations, provide coaching, and conduct performance evaluations
- develop team capabilities through training and professional development
- maintain strong functional relationships with sample coordinators in Italy and Colombia
- promote collaboration and knowledge sharing across regional sample operations teams
- own all global sample processes from formulation through delivery
- monitor the lab dashboard to track sample formulation progress
- coordinate production schedules with the formulations team
- ensure accurate inventory entry for newly formulated samples
- update processes to align with organizational changes
- maintain global standardization including labeling, sample sizes, and documentation
- identify and implement process improvements
- lead forecasting efforts for sample demand using pipeline data
- document workflows and train regional teams on updates
- serve as the owner of the global sample platform ensuring functionality and user adoption
- gather user requirements across regions and collaborate with IT for enhancements
- test system functionality and troubleshoot issues
- adapt the tool to evolving processes
- ensure accurate sample inventory entries across regions
- conduct regular audits and resolve discrepancies
- enforce data entry standards and regulatory compliance
- control access to GLP samples and confidential experimental compounds
- manage end-to-end international logistics for sample distribution across the US, Italy, and Colombia
- build and maintain relationships with customs brokers, freight forwarders, and regulatory agencies
- ensure compliance with regulations including EPA, APHIS, TSCA, REACH/ECHA, IMDG/IATA, and regional import/export requirements
- oversee preparation and accuracy of shipping documentation including Commercial Invoice, SDS, customs declarations, Dangerous goods declaration
- resolve customs holds and regulatory issues proactively
- monitor KPIs for international shipments and implement improvements
- maintain ready audit records of all shipments and documentation
- review incoming requests and coordinate fulfillment across regions
- work with third-party labs when needed
- track request-to-delivery timelines and address bottlenecks
- keep requesters updated on status
