Job Requirements

  • Minimum of two years of experience as a receptionist or administrative assistant

Job Duties

  • Answers phone calls and emails, takes messages and distributes information in an accurate and timely manner
  • Welcomes visitors and guests in a helpful and courteous manner
  • Provides information to visitors of the Hallie Ford Museum of Art by directing them to appropriate galleries and services, maintains knowledge of permanent and temporary exhibitions, answers general questions, and refers inquiries to appropriate staff or handles them in their absence
  • Handles admission and store sales by collecting money, preparing receipts, monitoring inventory, fulfilling online orders, and maintaining store displays
  • Collects visitor data required for reporting purposes
  • Maintains pamphlet and information files for distribution to visitors such as brochures and calendars of events
  • Handles group reservations by booking school and group tours of exhibitions
  • Provides clerical support to staff for special projects
  • Covers absences for other receptionists
  • Supports occasional weekend and evening events
  • Safeguards confidentiality of department records and personnel information
  • Attends staff meetings as scheduled
  • Performs other essential duties as assigned
